We’re looking for a Cash Applications Clerk to join our Accounts Receivable and Collections team to apply customer payments to customer orders in a high volume, fast-paced environment. Critical skills include familiarity with accounts receivable processes, troubleshooting skills, strong Microsoft Excel skills, and the ability to interface effectively with operations and customer service departments.

You’ll report to the A/R and Collections Supervisor and work from our Sana Ana, CA office.

What You’ll Do:

  • Apply customer payments to their accounts accurately and in a timely fashion.
  • Prepare daily bank deposit by using a scanner and then posting to the appropriate customer order.
  • Process customer credit card payments in accordance with company policy.
  • Reconcile payments to ensure proper application.
  • Maintain files, including scanning documents to electronic files.
  • Troubleshoot problem orders and accounting holds.
  • Create, maintain/track, and close show order projects.
  • Resolve customer short payments by contacting the customer via email and phone.
  • Occasional travel required.

We’re looking for a Payroll Administrator to support the Payroll and HR Teams with entering, maintaining, and processing information in the ADP Payroll system. The Payroll Administrator will enter and manage information about compensation, time and absences, paid leave, deductions, and employees’ personal data. The Payroll Administrator also manages the timeclock system and runs a variety of reports for management.

You’ll report to the Payroll Supervisor and work from our Santa Ana office.

What You’ll Do:

  • Enter, maintain, and/or process information in the ADP payroll system, such as compensation data (employees’ hourly rates, salaries, commissions, bonuses, or other compensation), time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Ensure proper processing of payroll deductions for taxes, benefits, and other deductions.
  • Manage the timeclock system, including running reports, enrolling employees in the timeclock, and editing time punches.
  • Running reports in ADP.
  • Managing Petty Cash spreadsheet.
  • Performing other duties as assigned.

 Who You Are:

  • You have 2‐3 years of payroll experience (required).
  • 2 years of experience in accounting or bookkeeping (preferred).
  • You have experience using ADP Workforce Now with Essential Time (required).
  • You possess excellent verbal and written communication skills.
  • You have excellent time management skills with a proven ability to meet deadlines.
  • You have excellent organizational skills and attention to detail.
  • You are proficient with the Microsoft Office suite (especially Excel, Word, and Outlook)

We are currently hiring an Operations Manager to support a new venture at Collectors Universe (CU). This is a rare opportunity to help build out a completely new business unit inside of an established organization from day one. While currently in stealth mode, operationally the new business unit will function as a high value storage and fulfillment center. This role will require an individual who is comfortable with ambiguity and has a bias for action while remaining customer obsessed with an extremely high standard of care. This individual will also need to be comfortable assuming the role of both player and coach, as necessary.

This role spans three core pillars: 1) management and execution of all new venture operations, 2) operational process management, and 3) operations point of contact for cross-functional partners. This role demands a highly organized, process oriented leader that can manage multiple work streams.  Prior experience with people management of hourly team members is a must.

What you’ll do:

  • You will be responsible for execution of all operations supporting the new venture, including managing a physical location and the operational team (~25 team members). 
  • Implement, track, manage, and evolve standard operating procedures (SOPs) for new processes. As part of this you will partner with internal stakeholders on continuous improvement / kaizen for all SOPs.
  • Serve as the operations liaison for cross-functional stakeholders (product / engineering, CX, business development, finance, marketing, etc.). 
  • P&L responsibility for variable costs of operational activities.
  • Own quality of service, customer experience, and employee engagement KPIs.

Who you are:

  • 5-10 years of experience including operational experience in supply chain or logistics.
  • 3-5 years direct people management experience of hourly / front-line team members.

The Facilities Warehouse Technician will assist the company with maintaining an organized, functional, and secure warehouse and building. The position is based in Santa Ana, CA.

 

Essential Duties & Responsibilities of the Position:

  • Receive deliveries from suppliers

What You’ll Do:

  • Provide leadership and direction to evaluate, modify and maintain CU’s Total Rewards offerings to ensure a competitive compensation, equity, and benefits strategy
  • Create our compensation philosophy and design a Total Rewards program in alignment with the company’s objectives, initiatives and budget guidelines

Who You Are:

  • Bachelor’s Degree with 10+ years experience in Compensation, Equity Administration, and Benefits

  • Expertise in policy design and understanding of all pertinent regulations

We are looking for a Logistics Coordinator to join the Logistics Team at PSA. You'll report to the Logistics Assistant Manager and work at our office in Santa Ana, CA.

What You'll Do

  • Distribute incoming boxes for Unboxing and prep orders for Receiving.
  • Ensure complete support to internal customers (within Operations) to maximize department efficiencies.
  • Organize and sort orders in storage rooms based on turnaround times and service levels.
  • Maintain inventory accuracy using a systematic approach to scanning and organizing orders.
  • Work with the Logistics Supervisor and/or Logistics Planner Scheduler on unique day-to-day projects that arise.

We are looking for a Logistics Coordinator to join the Logistics Team at PSA. You'll report to the Logistics Assistant Manager and work at our office in Santa Ana, CA.

What You'll Do

  • Distribute incoming boxes for Unboxing and prep orders for Receiving.
  • Ensure complete support to internal customers (within Operations) to maximize department efficiencies.
  • Organize and sort orders in storage rooms based on turnaround times and service levels.
  • Maintain inventory accuracy using a systematic approach to scanning and organizing orders.

We’re looking for a Receiver to join our PSA Division’s Receiving team. You will be responsible for accepting, inspecting, and scanning incoming packages containing customers’ submissions and for supporting the Receiving Lead by organizing, separating, and prioritizing mail by marked service level. You will verify that all data is accurate in the database based on the corresponding customer submission and paperwork and enter data into our Grading System. You should have basic typing skills, good problem-solving skills, possess the desire to work in a fast-paced environment, and enjoy working as part of a team.

This role reports to the Receiving Lead and is based in our office in Santa Ana, CA.

What You’ll Do

  • Support the Receiving Lead by organizing mail and separating mail by marked service level

  • Log in receipt of contents and data
  • Print stickers containing the order details

We’re looking for an Autograph Processing Assistant to directly support the Autograph Processing Team with a variety of different tasks. This position will be responsible for processing bulk submissions, managing the photo stream, obtaining and applying authentication results, data entry and handling dealer appointments.

The PSA Head of Sales will lead the day-to-day strategic management of the PSA Preferred Dealer Network, which is composed of auction houses, group submitters and dealers, and lead the PSA sales team both in the office and in the field.

You’ll report to the Shipping Manager and work from our Sana Ana, CA office.

The Real Estate Coordinator position is a key role at Collectors Universe. Seeking an individual with construction and/or design background, and skills to serve as an administrator across multiple tenant improvement projects. You will be working with our small but tactical team on aspects of existing and new projects, researching and vetting out solutions, and structuring improvements for our standardized team practices. You will be coordinating and collaborating with internal and external Project Managers and vendor partners to ensure the overall success of our projects that are in motion as well as any future projects. 

Roles and responsibilities

  • Onboard new workplace and construction project vendors 
  • Manage all contracts across locations and projects, collaborate with legal for agreement review, execution, and renewal
  • Complete monthly purchase reconciliation 
  • Manage the onboarding of a Real Estate portfolio management tool, serve as master administrator 
  • Manage the onboarding of a Real Estate budgeting tool (Procrore), serve as master administrator
  • Develop and markup floor plans and seating charts (experience in AutoCAD and/or Revit would be extremely helpful)
  • Collaborate with Real Estate and leads and Finance to track project budgets and actuals
  • Oversee and complete the order and delivery of global furniture orders and assist with inventory audits as needed
  • Assist with and coordinate any ad hoc purchasing and delivery tracking
  • Provide key internal stakeholders with visibility into project milestones and completion dates
  • Edit team communications, draft important project emails and memos

We are looking for a Technical Recruiter to help us scale our hiring efforts for Engineering, Data, Design, and Product Teams at our Santa Ana headquarters, with expansion to new markets overtime. 

This is a unique opportunity to join the brand new Talent Acquisition team and contribute to building a world class recruiting organization. You will partner with our hiring managers to understand and anticipate their needs and priorities in order to help significantly scale teams across corporate and operation functions. You will work to identify and engage passive candidates and manage the full-cycle recruiting process for a wide variety of candidates, and help us hire effectively, efficiently, and inclusively. In addition to working closely with senior stakeholders from our business teams, you’ll get to closely collaborate with human resources and talent acquisition operations teams to effectively drive change and propose process improvements. 

This role reports to the Director of Technical Talent Acquisition. It is preferred that you are based in our Santa Ana, CA headquarters, but remote candidates will also be considered.

What You'll Do:

  • Directly source candidates through research, messaging campaigns, social media, referral generation, and events
  • Conduct preliminary conversations with potential candidates about Collectors Universe and the roles for which they are interested in or have applied for
  • Strategize on ways to successfully build talent pipelines for multiple, complex searches, with a particular focus on using data to drive decision making and strategies
  • Be a champion of structured interview processes and ensure that candidates are seamlessly moving through the interview process
  • Manage offers by extending offers, negotiating, and acting as an internal advocate for candidates

Who You Are

  • Resourceful technical or software engineering recruiter with at least 2+ years of experience helping technical organizations hire top talent by sourcing, pitching and closing candidates, with at least 1 year of independently closing complex offers at senior levels
  • Experience working as part of an “in-house” internal recruitment team with a proven track record of success owning the entire recruiting process
  • Comfort with communicating and working with stakeholders and hiring managers at all levels
  • Organized, detail oriented, and possess strong interpersonal skills
  • Eagerness to roll up your sleeves to tackle meaningful problems and work with a sense or urgency
  • Collaborative problem-solver who is able to proactively adjust to shifting priorities, and values the chance to make an important impact by building strong teams
  • Familiarity with HR databases, Applicant Tracking Systems (ATS), or Candidate Management Systems (CMS)
